Job Purpose

The Canal & River Trust is one of the UK’s largest charities, we maintain 2,000 miles of historic canals, rivers, docks and reservoirs, along with museums, archives and the country’s third largest collection of protected historic buildings – preserving them for future generations.


We are currently seeking a Seasonal Customer Support Administrator to provide support during our busy seasonal period April-October.


The post holder will be providing the business with administration and customer service support, assisting all functional departments including Volunteeering in achieving Canal & River Trust’s aims to increase the number of people using the waterways and improve safety whilst protecting the heritage and integrity of the inland waterways network. 


The succesful candidate will also deliver administrative services to colleagues within your designated team and liaise closely with other teams in areas of the business. Deliver excellent customer service through strong verbal and written communication skills using technical systems and agreed processes/procedures as necessary.


Knowledge, Skills/Qualifications & Experience

Job Overview -

  • Comply with Canal & River Trust’s Health & Safety policy and defined standards. Undertake risk assessments, report incidents, accidents and near misses.
  • Using MS Word, produce typed correspondence eg reports, letters, emails and other documentation efficiently. Using MS Excel/PowerPoint compile data and produce reports, spreadsheets and graphs to represent data.
  • Working with the Volunteering teams - Use of Thank Q, running reports and working with the Volunteering Developement Co-ordinator
  • Input, abstract and present data in an appropriate format to defined standards as and when required ensuring the utmost accuracy of data input, speed of producing documents and quality of typed documentation, upholding confidentiality at all times as required. Assist colleagues in production of reports as and when required.
  • Deal with routine enquiries from customers, suppliers and a wide range of colleagues demonstrating excellent communication verbal or written. Take messages and convey information as required acting appropriately at all times upholding confidentiality as necessary. Recognise and escalate issues which you cannot deal with to the most relevant person, in a timely manner ensuring compliance with standards set for customer contact to ensure customer queries are dealt with effectively and closed satisfactorily.
  • Within functional area, review, design and implement new processes and procedures as required to provide efficiencies to the business, ensuring that business needs are met in the most appropriate, and cost effective way.
  • Using SAP raise purchase orders as directed, for supply of goods, ensuring receipt and adherence to agreed purchasing systems and procedures. Support the business with SAP input and key administration tasks eg invoicing, notifications, expenses, time and attendance data.
  • Assist at meetings taking notes, producing relevant documentation and circulating to appropriate people, ensuring confidentiality, appropriateness of receivers and accuracy of documentation.
  • Carry out cash and banking, petty cash and purchase card transactions in accordance with Canal & River Trust policies and procedures.
  • Using MS Outlook and agreed procedures, maintain colleagues’ diaries as appropriate, arranging appointments, booking meetings and travel/accommodation reservations. Undertake general administrative duties as appropriate.
  • Proactively support and guide other team members sharing knowledge and best practice across the business.

Skills & Qualifications

  • Educated to GCSE standard or equivalent eg NVQ Level II Business Administration.
  • Experience of Customer Service / Administration / Telephony.
